3. Compare quotations and samples

Shortlisted suppliers receive one controlled request for quotation. The comparison should identify unit price, MOQ, sample cost, tooling, packaging, domestic freight, lead time and exclusions. When a sample is required, record its version and the buyer's written approval before production.

4. Confirm purchasing terms

Before payment, confirm the seller, payment beneficiary, product version, quantity, price, delivery rule and milestone. 5. Control production and quality

Quality control should be defined before production starts. Depending on product risk, the plan may include first-article review, during-production checks or pre-shipment inspection. The report should use measurable criteria for appearance, dimensions, function, quantity, labeling and packaging.

6. Receive and consolidate approved goods

Suppliers deliver their goods to the agreed Guangzhou warehouse. Each order remains linked to its supplier, purchase reference and inspection status. Missing, disputed or unapproved goods should remain separate from cargo cleared for shipment.

7. Release cargo to the freight forwarder
