Why an OEM manufacturing inquiry needs more than a product photo
A product photograph or marketplace link can start a conversation, but it rarely defines an OEM order. Two products that look similar may use different materials, components, dimensions, tolerances, finishes, software, packaging or test standards. Those differences affect the suitable factory, tooling, minimum order quantity, sample work, production time and price.
A manufacturing agent helps convert the buyer's commercial idea into a requirement that factories can review and quote on the same basis. That does not mean the first WhatsApp message must be a finished engineering file. It should contain enough information to identify the important gaps and decide what must be clarified before supplier comparison begins.
What to send to a China manufacturing agent on WhatsApp
Separate mandatory requirements from preferences. If the overall size must remain fixed but the internal material can change, say so. If a target price is more important than a specific finish, make that trade-off visible. Factories can propose useful alternatives only when they know what cannot change.
A copy-ready OEM WhatsApp inquiry template
Name every attachment clearly—for example, “Housing Drawing V3 2026-10-06” instead of “final drawing.” If a file changes, keep the old version in the project record and identify what was revised. A short revision note can prevent a factory from quoting, sampling or producing against an outdated file.
China manufacturing agent, sourcing agent or factory?
The labels overlap in the market, so judge the actual scope rather than the job title. Ask who prepares the supplier comparison, who controls specification revisions, who approves samples, who follows production, who performs inspections and who releases cargo. Our guide to choosing a China factory agent provides a wider due-diligence checklist.
What happens after WRS receives the OEM brief?
1. Requirement and risk review
WRS reviews the available product information, expected quantity, customization, destination market and timing. We identify missing details that would prevent a meaningful comparison and separate assumptions from confirmed requirements.
2. Factory search and comparable quotations
Potential manufacturers should be compared against the same requirement. A useful quotation records specification, MOQ, unit-price breaks, tooling, samples, packaging, lead time, domestic delivery and exclusions. The lowest number is not comparable when it represents a different material, process or scope.
3. Sample development and version approval
Sample work may include an off-the-shelf reference, customized sample, prototype, tooling sample or pre-production sample. Each review should state the sample version, checks performed, deviations, approved changes and next action. Approval of appearance alone should not silently replace functional or dimensional requirements.
4. Purchase and production follow-up
Before money moves, confirm the legal and commercial parties, product version, quantities, unit prices, tooling, payment milestones, delivery rule and approval gates. During production, follow the agreed schedule and escalate changes that could affect the approved product, cost or shipment date.
5. Quality control and shipment release
Inspection should use a defined product specification, sample plan, checks, defect criteria and reporting format. Warehouse photographs or a factory's internal QC statement are not automatically a substitute for an agreed product inspection. The buyer should see the findings and decide how nonconformities are handled before shipment release.
Control drawings, samples and tooling before production
OEM projects often fail through uncontrolled changes rather than an obvious lack of effort. A dimension moves in a chat message, a material is replaced to reach the target price, packaging artwork is revised after the sample, or the factory treats an early prototype as the production standard. A clear approval record reduces these risks.
- Give every specification, drawing and artwork file a version number and date.
- Record which sample becomes the approved reference and what it does not approve.
- Confirm who owns molds, fixtures, artwork and other project-specific assets.
- Require approval before material, component, process, subcontractor or packaging changes.
- Link payment and production milestones to evidence the buyer can review.
For supplier identity, capability and payment checks, use our China supplier evaluation checklist. Supplier evaluation and batch inspection answer different questions and may both be required.
How to compare an OEM manufacturing quotation
Compare the complete project scope, not only the unit price. A quotation should make clear what is included, what is estimated and what will be charged separately:
- Product specification, quantity breaks and MOQ by model or color.
- Samples, prototypes, engineering work, molds, fixtures and revisions.
- Branding, retail packaging, labels, manuals and master cartons.
- Testing, factory verification, product inspection and re-inspection.
- Domestic freight, warehouse receiving, storage, repacking and consolidation.
- Payment terms, currency, service fee, bank charges and quotation validity.
Our guide to China sourcing agent fees explains how to compare a commission or project fee with the actual work included. The guide to China sourcing costs covers the wider cost layers beyond the factory's unit price.
Using the WRS Guangzhou warehouse for OEM orders
WRS operates its own warehouse in Guangzhou, China. Under an agreed project scope, approved goods from one or more suppliers can be received, recorded, stored and consolidated before release to the buyer's freight forwarder. This can help when the main product, accessories, printed packaging or spare parts come from different suppliers.
Warehouse receiving and product inspection remain separate. Receiving can document cartons, order references, visible condition and agreed quantity checks. A product inspection requires its own specification, sample size, tests, defect criteria and report. Confirm storage time, handling, repacking, labels and release instructions before suppliers deliver cargo.
Can you use your own international freight forwarder?
Yes. WRS can prepare approved goods for handover to your nominated forwarder while you arrange international transportation separately. Share the forwarder's contact, pickup instructions, cargo cut-off, document needs and required carton information before the goods are ready.
The purchase, warehouse and freight records should identify who is responsible for each stage. Do not assume that a factory quotation, sourcing quotation and international transport quotation cover the same work.
Questions to ask before appointing a manufacturing agent
- Which work is included in the sourcing or manufacturing service fee?
- Will I see comparable factory quotations and important exclusions?
- How are drawings, samples, artwork and approvals version-controlled?
- Who owns tooling and what happens if I change factories?
- Which production stages are followed and how are delays reported?
- What inspection evidence will I receive before final payment or shipment?
- Can products from several suppliers be received and consolidated?
- Can the approved cargo be handed to my own freight forwarder?
